EADMS/IO Education Renaissance Learning Integration
With our new partnership with Renaissance Learning, you can have your Renaissance Learning scores automatically imported into your EADMS/IO Education database. We can import your current school year's scores as well as past years. The below document from Renaissance Learning explains how to initiate this. Please follow these instructions. After contacting Renaissance Learning per below, please contact us with the following info:
- Let us know when you have contacted Renaissance Learning authorizing them to share your data with EADMS/IO Education.
- We will import your scores 3 times a year (Fall, Winter, Spring). Please provide us your specific dates for each import.
Note: Please do not give us an import date on or after your last day of school,
as more than likely the files will be blank. - Do you want your past school year's scores imported? For past years, we import the end of the year (Spring) score only.
Please do not hesitate to contact us with any questions. We look forward to hearing from you.
Customer Process – Data Sharing Agreement
Process for Sharing Renaissance Place TM Application Data with a State Level Reporting Service or a Data Warehouse
If you are interested in having Renaissance PlaceTM application data extracts sent to a state-level reporting service or a data warehouse, please follow this process:
1. E-mail your request to share data to support@renaissance.com, including the name of the third party
vendor(s) that you would like to share your Renaissance PlaceTM application data with. This could be a
state Department of Education (DOE) or another data warehouse provider.
A technical support representative will need to verify that the third party vendor is on our list of
approved vendors.
If your third party vendor is already on our list of approved vendors, a data sharing agreement will be
deployed to your Renaissance PlaceTM site within five business days of receiving your request.
If the third party vendor that you would like to share data with is not on this list, a Renaissance Learning
technical consultant will be in contact with you to set up a meeting with you and the vendor. Once a
relationship has been established with the vendor and we are aware of their requirements, the vendor
will be added to our list of approved vendors. Afterwards, a data sharing agreement will be deployed to
your Renaissance PlaceTM site.
2. A district administrator or someone who we have listed as a technical key contact for Renaissance
PlaceTM will need to log in to Renaissance PlaceTM with a district administrator account and accept the
data sharing agreement.
Follow these steps to accept the data sharing agreement:
a) After logging in to your Renaissance PlaceTM site as a DISTRICT administrator, look for the
Custom Data and Reporting link on the home page.
b) Click on Setup Data Sharing to bring up the Data Sharing Agreement below.
c) After reading the data sharing agreement, scroll down to the bottom and click Accept.
d) The third party data sharing vendor(s) that you requested will be listed on this screen. Verify
that the correct vendor(s) are listed and check the appropriate boxes for the application data
that you wish to share. Then fill in the required name and e-mail address fields and click Save.
e) Once your request has been saved, you will see the message below.
After your data sharing agreement has been submitted, your information will be verified to be sure that
you are listed as a contact at this district that is authorized to sign the agreement. After your
authorization has been verified, we will send you an e-mail asking you to confirm the request within 72
hours. Once we receive a confirmation e-mail back from you, we will approve the request and activate
the nightly file exchange. If for some reason your request is denied, you will receive an explanation via
e-mail.
Notes: Your data extraction information is only valid for one year. Each year the information will be
cleared on July 31st. At the beginning of each school year (any time after August 1st), you will need to
accept the data sharing agreement again and make your current data sharing selections.
If you wish to stop the data transfer after it has been approved, you must go back to the data sharing
agreement in Renaissance PlaceTM and unselect the applications that you no longer want to share data
for. The specified third party vendor will no longer receive any data updates for these applications
going forward. You may also add applications for data sharing at any time during the school year
through the data sharing agreement screen.
3. Many third party vendors require that local and state ID’s are included in the extract for both districts
and schools. In order for this information to be shared, it must be added to Renaissance PlaceTM. Follow
the steps below to manually add this information.
Important Note for RDI Customers: If your district uses the Renaissance Data Integrator (RDI) service
to populate your class, student and teacher information, this information may already be added to the
software. Please follow the steps below to verify whether or not this information has been added and if
not, e-mail support@renlearn.com and we will check with your technical consultant to see what needs
to be done to automatically transfer local and state district/school ID’s into Renaissance PlaceTM from
your Student Information System (SIS).
a) After logging in to your Renaissance PlaceTM site as a DISTRICT administrator, click on the Districts and Schools link under the Renaissance PlaceTM tab at the top of the screen.
b) Click on the District Information link.
c) Enter your District Number (local district ID) and State Number (state district ID). Then click Save. After clicking on Save, you will return to the Home page.
d) Click on the Districts and Schools link again. Then click on View School and select the school that you wish to add local and state ID’s for. Click on Edit School.
e) Enter your District Number (local school ID) and State Number (state school ID). Then click Save. (Refer the screenshot)
f) These steps will need to be repeated for each school in your district.
If you have questions about the requirements of your third party vendor, you may want to check with them to see if this information needs to be included in your data extracts.
4. Many third party vendors also require that the correct local district/school ID’s and state ID’s for personnel and students are included in the data extract. Local district/school user ID’s may have already been added to the software but you will likely need to assign unique state ID’s to personnel and students. There are a couple of methods to add state user ID’s, (1) manually enter state ID’s into the program for each user or (2) Prepare a flat file (MS Excel or other text-based file) including state ID’s and enough fields to match on the students who are already populated in Renaissance PlaceTM to be imported. Follow the steps below to add state ID’s to users.
Note: When adding users to Renaissance PlaceTM, a unique user ID is required so all users will have an ID assigned to them but this ID is not necessarily their official local district/school ID. As a
result, local user ID’s may need to be updated either manually through the program or by importing a flat file to update this information if your third party vendor requires this information to match your
Student Information System (SIS). As new personnel and students are added to Renaissance PlaceTM,
you will also want to be sure to assign the correct ID’s to them going forward.
Important Note for RDI Customers: If your district uses the Renaissance Data Integrator (RDI) service to populate your class, student and teacher information, personnel and student ID’s as they appear in your Student Information System (SIS) should already be added to the software. State ID’s for users may also already be added to the software. Please verify whether or not user state ID’s have been added and if not, e-mail support@renlearn.com and we will check with your technical consultant to see what needs to be done to automatically transfer this information into Renaissance PlaceTM from your Student Information System (SIS). Do not make any manual changes to local or state user ID’s within the program if you are an RDI customer.
